What is a salary certificate?
A salary certificate is a letter from an employer confirming an employee's designation, date of joining and current salary. It is issued on letterhead, signed by an authorised signatory, and usually states the purpose: a home or personal loan, a visa application, a rental agreement or a bank account. Banks ask for it alongside the last three payslips, because the payslip shows what was paid and the certificate confirms that the employment is current.
It is not a payslip and not Form 16. The payslip is issued every month for the wage period and shows the full breakup. Form 16 is the annual tax certificate. The salary certificate is a one-page confirmation issued on request, and it can be as short as three lines when only gross salary is needed.
Salary certificate format
The certificate goes on letterhead with a date and reference number. It names the employee and employee code, the designation and department, the date of joining and whether the employment is permanent, on probation or fixed term. It then states the salary: gross monthly, total deductions and net monthly, with net pay in words, and the annual CTC if the purpose calls for it. It closes with the purpose, a line disclaiming liability, and the signatory's name and designation.
Address it to the bank or embassy if you know who is asking. A certificate addressed to a named branch manager carries more weight than one addressed to whomsoever it may concern, and it is harder to reuse for a purpose you did not intend.

Salary certificate for a bank loan
Banks use the certificate to confirm that the applicant is currently employed and to check the salary against the payslips and bank statements. Most lenders want gross and net monthly salary, the date of joining, and whether the employee is confirmed. Some also want the annual CTC and the PAN. State all of them and the bank will not come back with a query.
The figures must match the payslips. If a bonus or arrears inflated last month's payslip, state the regular monthly salary and let the payslip show the one-off. A certificate that disagrees with the payslips is worse than no certificate. Name the branch and the loan reference if the employee has them, and give a phone number the bank can call. Lenders verify by telephone before disbursing, and a certificate with no reachable contact stalls the file.
Salary certificate for a visa
Embassies ask for a salary certificate to confirm that the applicant has a job to return to and the means to travel. For Schengen and UK visitor visas the certificate usually needs the designation, date of joining, monthly salary, and a line that leave has been sanctioned for the travel dates. Use the bonafide certificate generator if the embassy wants the leave dates and no salary figures, or this one if it wants the salary.
Address the certificate to the visa officer of the embassy, sign it, and include a phone number or email for verification. Consulates do call. Issue it close to the appointment date rather than months ahead, since most checklists ask for a letter dated within the previous one to three months. Check the specific consulate's checklist before issuing, because the requirements differ between countries and change from one season to the next.
Who can issue a salary certificate?
Only the employer. It has to be signed by someone with authority over payroll or personnel records: the HR head, the finance head, the accounts manager or a director. A self-declaration by the employee is not a salary certificate. For proprietorships, the proprietor signs. For companies, use a signatory who will still be reachable when the bank calls.
Issue it within a day or two of the request. There is no statutory duty to issue a salary certificate, but there is no reason to refuse one either. The employee's salary is their information, and the certificate confirms what the payslips already show. Keep the reference number and a copy in the personnel file, because the same employee will ask again for the next loan or visa, and the second certificate has to agree with the first.
