TDS Default Intimation

A TDS default intimation is the communication CPC for TDS issues against a processed TDS statement where defaults have been found. It reaches the deductor through the inbox on TRACES, under the communications marked as requiring action.

Where does a default intimation actually arrive?

The default intimation lives in the TRACES inbox, and the inbox is the authoritative copy. Deductors often treat the email alert as the notice itself and then lose track of what is outstanding. The Communication tab holds the record, and a communication sitting under Action Required is one that has not been dealt with.

Seeing any of this requires a registered account. The tutorial is explicit that only TRACES registered users can see the default intimation functionality, which is one more reason the TAN registration is not optional housekeeping.

Action Required and General Awareness

Clicking Inbox produces two tabs. Action Required holds the communications that need something from the deductor, and it is the tab to work from when downloading an intimation. General Awareness holds communications that need no action.

The split matters because the download and justification report buttons are not shown on every communication. They are visible and enabled only for two categories: PAN errors, and intimation with demand. A communication in another category can be read but has nothing to download from this screen.

Why read the intimation against the justification report?

The intimation states the demand. It does not, on its own, say which rows produced it. That is what the justification report is for, and TRACES puts the request for it on the same screen.

Working from one without the other leaves the job half done. A short deduction demand for a quarter is not something a payroll team can act on. It has to be resolved to the deductee rows behind it first. Paying a demand without reading the justification report leaves whatever caused it in place, to recur the following quarter.

What do you do once the intimation is downloaded?

An intimation resolves one of three ways, and the justification report is what tells you which.

  • Where the demand is right, it is paid with challan ITNS 281 under minor head 400, which requires logging in to the income tax portal, and the challan is then tagged against the statement on TRACES.
  • Where the demand comes from something wrong in the statement, such as a PAN reported incorrectly or a deductee row against the wrong challan, the fix is an online correction rather than a payment.
  • Where neither applies, TRACES carries a Request for Resolution route for raising the matter.

Paying a demand that a correction would have removed costs real money, and reading the justification report first is what prevents it.

Why do the same defaults recur?

Defaults repeat when the cause sits in payroll rather than in the filing. A PAN that was wrong in the employee record is wrong again next quarter. A deduction computed against a declaration that was never updated is short again next quarter.

Working intimations one at a time treats each quarter as an isolated event. Reading the justification report back to the payroll record it came from is what stops the same demand arriving three months later.

How to download a default intimation from TRACES

On tdscpc.gov.in, signed in as the employer

  1. Log in to TRACES as a deductor

    Log in with the TAN, user id, password and the verification code as displayed.

  2. Open the inbox

    Click Inbox under the Communication tab. The landing page is displayed first.

  3. Work from the Action Required tab

    The inbox opens with two tabs, Action Required and General Awareness. Intimations to be downloaded are under Action Required.

  4. Open the communication

    Select the row of the communication and click View Details to see the intimation or communication in full.

  5. Download the intimation

    Use the Request for Download Intimation button. It is visible and enabled only for communications in the PAN errors and intimation with demand categories.

  6. Request the justification report alongside

    Where the detail behind the demand is needed, click Request for Justification Report on the same screen.

  7. Return to the inbox

    Click View Inbox to go back to the list of communications.

  8. Search the inbox when the list is long

    Communications can be searched by communication date, by category of communication and by financial year of the statement.
